Who we are

The Australian Society of Endodontology (Victorian Branch) Inc. (“ASE VB”, “we”, “us”) is a non-profit professional society for dental practitioners with an interest in endodontics. Our website is asevb.org.au. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

  • Membership information — name, title and qualifications, email address, phone number, mailing address (for delivery of the Australian Endodontic Journal), membership category, and for new-graduate or student members, evidence of recent graduation or current enrolment.
  • Event registrations — name, contact details, ticket type, and dietary requirements you choose to provide for catered meetings. Dietary requirements may indirectly reveal information such as religious observance or health conditions; we collect them only to cater for you and treat them accordingly.
  • Payment information — payments are processed by our payment providers (card payments via our payment gateway, or direct bank transfer). We do not store your full card details on our website or systems.
  • Website accounts — a username, email address and encrypted password if you create an account to purchase memberships or event tickets, and standard technical data (such as cookies needed for login and shopping-cart functions).
  • Photographs — photographs may be taken at Society events and published in the members’ gallery on this website or in Society communications. If you would prefer a photograph of you not be published, contact the Secretary and we will remove it.
  • Recordings — lecture meetings offered by live stream may be recorded; the recording shows the presenters, not the audience, and is made available to members in the video library.

Why we collect it

To administer memberships and renewals; to deliver the Australian Endodontic Journal; to register and cater for events and issue CPD documentation; to process payments and issue receipts and tax invoices; to communicate with members about Society activities; and to meet our legal and accounting obligations.

How we hold it

Member and event records are held in our website’s membership system and by the Society’s office holders. Access is limited to committee members and administrators who need it to run the Society. We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.

Who we share it with

  • Payment providers, to process your payments.
  • Event venues and caterers — attendee numbers and dietary requirements only.
  • The publisher and distributor of the Australian Endodontic Journal — your name and mailing address, for delivery of your member subscription.
  • ASE Inc. (the federal body), where needed to administer your membership benefits nationally.
  • Service providers who host our website and email. Some providers (for example payment or email services) may process data on servers located overseas, including the United States.

We do not sell personal information, and we do not disclose it for third-party marketing.

How long we keep it

Membership and financial records are retained for as long as required for the Society’s administration and to meet legal, accounting and audit obligations, after which they are deleted or de-identified.

Access, correction and removal

You may request access to the personal information we hold about you, ask us to correct it, or ask us to delete information we are not required to keep. Members can also review and update their own details at any time by logging into their account on this website.

Cookies

This website uses only the cookies necessary for member login, shopping-cart and checkout functions to work. We do not use advertising cookies.
